Main screen for appointments management.


Access


Through Appointments 

  • Click on the Appointments button, in the Main Menu screen. 

Through QuickLinks

  • Click on the QuickLinks text, located at the top of the screen, and select the Appointments option. 

Through Patients

  • Click on the Patients button, in the Main Menu, located at the top of screen. 
  • Then press the Appointments button, located at the top of the screen.  


Buttons

  • BackwardPress to go back a calendar day.
  • Forward: Press to move forward a calendar day.
  • Calendar (View)

    • Day View: Displays the current day appointments.
    • Work Week View: Displays the work week appointments.
    • Week View: Displays one week of appointments.
    • Month View: Displays one month of appointments.
  • More
    • Billing: Press to register a patient payment or open the billing module.

    • Eligibility: Press to check plan and medication eligibility for the selected patient or select Group Eligibility to check the eligibility of every patient with appointments for the day.

    • Internal Referrals: Displays the list of patients, who have referrals to internal providers of the facility or office, in order to create a pending appointment.
    • Reports: Press to open the reports options, for the appointments module (Appointments reports or Patient reminders). Now there is an option to export daily appointments. 
    • Schedule: Create recurring appointments.
    • Save Layout: Allows to store the user's preferred layout. 
    • Workflow: Displays the Workflow screen. 
    • Office Directory: Displays the screen, in order to register the contacts of the office or center.
  • Side Panel: By pressing this button a panel will be displayed on the right side of screen. User has the option to  hide it or to be displayed.
    • View Date Selector: When selected, the calendar will be displayed. 
    • View Patient Search: When selected, the patient search section will be displayed.
    • View Patients Detail: When selected, the "Appointment Detail" section will be displayed. 
    • Show Work Time Only: When selected, it will only display the calendar with the hours that the provider works. 
    • Save Layout: Saves the configured layout.
  • Alerts: Contains office and patient alerts.

    • General Alerts: Displays office alerts that are applicable to the selected patient. (These are configured in the Settings module.)

    • Patient Alert History: Displays the history of alerts created for the selected patient. (Does not include office alerts.) 

    • New Patient Alert: Opens the screen to create patient alerts. These are custom alerts and will be displayed once patient arrival is documented on the appointment entry or upon opening the Patient Details record for the patient. (Example: Reminder that the patient has an outstanding balance or that lab results are expected.)

  • Search:
    • Appointment Search: Allows to search for a patient appointment with a specific office and/or provider. 

    • Lookup: Search past or future appointments for a specific patient. 

  • View Orders:
  • View Orders: Displays all orders created for the selected patient. Includes: Prescriptions, Referrals, Lab or X-Ray orders, among others. 
  • View Summary: Displays a summary of the treatment provided to the patient on that day.
  • View Resources: 
  • Providers: Indicate the provider to be displayed on the appointments grid.

  • Offices: Indicate the the office that is going to be shown on the appointment screen.

  • Side Panel: When pressed, a panel located on the right side of the screen will be displayed. The user has the option to leave it unfolded or hide it.
  • Previous: Press to return to the previous screen.


  • Appointments Grid: Area to add, edit, delete or move appointments. Confirmed appointments, will be identified with a green Check Mark on the right side of the patients name.


  • Appointment Detail: Section to create the appointment and add details such as: Primary Plan, Secondary Plan, Phone, Mobile among others. User can also view patient's feature appointments and can also delete, if necessary. 

  • Information Bar: When an appointment is selected, the bar displays some patient demographic information.


Panel Buttons

  • Eligibility: Allows to search for eligibility of the patient's health plan.  
  • Search: Allows to search for patient appointments. This screen works in the same way as the "Lookup" screen. 
  • Patients Detail: Displays the "Patients" screen. 
  • Reports: Allows to create appointment reports. In it, you can see the patients who left the office, without being evaluated, in the "Runaway" column.
  • Schedule: Allows to create recurring appointments, for a patient with a specific provider and / or office. Used most often in "Ob/Gyn".  

  • Refresh:  Allows to refresh screen. 

  • Settings: Allows to configure the hours of the office or center, types of appointments, exam rooms and / or vacations and holidays. 


Panel Sections

  • View Date Selector: Section to facilitate the management of patient appointment dates.


  • Patient'sSection to perform patient search. Once you have found the patient, press the left mouse button and drag it to the appointment time, which you want to place on the calendar. 


  • Appointment Details: Section where you can view the details of the selected patient. 
  • Arrived: Selecting this checkbox, indicates that the patient arrived at the office. In the same way, it works as a way to visualize if the patient arrived, just by selecting it in the calendar.  
  • Edit: Display the "Appointments Details" screen, to edit the appointment, of the selected patient.
  • Left the office without attended:  Select this box, to indicate that the patient left unattended. (Note: Selecting this option, will display it in the citation report as "Runaway".)   
  • Delete: Allows to delete the patient's appointment. 
  • Refresh Details: Allows to update the appointment details. 
  • Documents: Allows to add documents to the selected patient


  • Notes: Displays the appointments and patient's notes, of the selected patient. 


  • Insurance: Displays the image of the primary and secondary medical plan, of the selected patient. 


  • Past Appointments: By selecting this tab, once you press the "Refresh" button, the patient's past appointments, 4 months prior, will be displayed. 
  • Arrived: The event is identified, when selecting the "Arrived At" box, on the "Appointment Detail" screen, when the patient arrives at the office. 
  • Attended: The event is identified, once the encounter tied to the patient's appointment is closed. 
  • No Show: This event is identified, when the patient is on schedule, but did not show up at the office. 


  •  Refresh Details: Press this button, once you have made any changes to the patient's record. The selected patient's information, will be updated automatically. 
  • Documents: Displays the "Documents" screen, for the selected patient. 


  • Show Work Time Only: When you select this option, the calendar will only display the provider's working hours. 


  • Save Layout: When selected, you will save the design and deployment according to the user's configuration and/or preference.

  • Open: Allows the display of the appointment details, of the selected patient.
  • Set status as: Allows to change the appointment type of the selected patient.  
  • Set area as: Allows to change the room in which the selected patient is located. 
  • Cut: Allows to cut the appointment of the selected patient. 
  • Copy: Allows to copy the appointment of the selected patient.  
  • Paste: Paste the appointment of the selected patient.  
  • Delete: Deletes the appointment of the selected patient.  
  • Send SMS to Patient: Allows sending text messages to the selected patient. 
  • View Log: Displays the user who created, edited, and added a note, related to the patient's appointment.
